Tips On Effective Email Writing – Respect is Important
Before sending out that marketing email, here is a guide that focuses on respect and courtesy.
Use the BCC and the CC functions correctly. Some people get confused or do not know how to use the BCC and CC functions of e-mailing.
Remember that if you use CC (carbon copy), all the recipients of your email will be able to see the names of everyone you are sending the same e-mail to.
On the other hand, if you use BCC (blind carbon copy), you can send the same e-mail to a group of people at once, without letting them see the e-mail addresses of the other recipients.
Don’t be rude. If you received an e-mail from an unhappy customer, never be tempted to fight back by sending an offensive attack. Instead, address the issue in a professional way. Never use foul languages or expressions which can offend your recipient.
Send e-mail only when it’s important. When sending an advertising email, be sure that it will be worth your recipient’s time.
Keep it short and clear. When composing your e-mail, make it brief and precise. If your letter is too long, the recipient may not even bother to read it.
Avoid all capital letters. Do not use capitalization to emphasize your message. If you need emphasis, use bold or italic format instead of capitalizing the whole word.
Avoid all lower case letters. Observe proper capitalization. Be sure that all proper nouns are capitalized in your letter.
Do not use elaborate typefaces. Use a font style and color that is easily readable.
Use proper subject lines. Be sure that your subject line accurately describes the content of your email. Never use misleading subject lines.
Proofread before sending. Spend time proofreading your email before sending it out. If you have someone who can proofread for you, then better. You can also use spell checker and grammar tools online.
Don’t send attachments. Attachments may contain viruses and other malicious programs. Many people immediately delete e-mails with attachment unless it’s from someone that they personally know.
Identify yourself. Do not hide behind a pseudonym or an alias. To gain trust of your customers, use your personal name and the registered name of your company.
