Tips On Effective Email Writing: Make Your Identity Clear

Observing proper writing etiquette is important in sending marketing emails. This article focuses on the importance of making your identity clear right from the beginning of your letter.

Introduce Yourself

In order to gain the recipient’s trust, you must introduce yourself right away. It doesn’t need to be a very long introduction. State your name and the name of your company so your recipient can know who sent the email.

What is the purpose of your e-mail? Do you want to offer a discount or introduce a new product? Do you want to invite the recipient to check out your new store? Use the first paragraph to state your reason for writing.

Make It Clear

Avoid using company jargon as your recipient may not be familiar with those terms. Instead, use words that can easily be understood regardless of your recipient’s background.

Keep in mind that your reader won’t have the patience to read a very long letter. Thus, make your e-mail short and precise.

Use bulleted lists to emphasize key points. Bulleted lists are great because you can eliminate unnecessary wordings. Even if your reader only scans through the list, he/she will still be able to understand the message you want to convey.

Be Professional

Do not use all capital letters to highlight a word or a phrase. The use of all caps can be seen as shouting or rudeness. To emphasize certain words or sentences, you can use Bold or Italic font.

Do not use smileys to make your email look friendly. Smileys are never used in business writing. Also, choose a font style and color that are appropriate to business letters. Avoid using very large fonts or styles that are difficult to read.

After composing your message, spend time to proofread your work and look out for typographical or grammatical errors. If your email contains a lot of misspellings or incorrect grammar, your recipient may get a negative impression about your company.
