Tips On Effective Email Writing: How To Keep Message Focused

November 10, 2009 By: ecpmmain Category: Articles

One of the most important points on writing a marketing email is to maintain the focus of the message. Keep in mind that yours is not the only e-mail that the recipient will receive. There’s a great chance that the recipient will be getting dozens of e-mails from different advertisers. Your recipient maybe subscribed to different marketers and if your message is poorly written, then it will not grab attention.

Why Focus is Important

E-mail marketing is not just about promoting your products. It is about conveying your message clearly, giving information or encouraging a potential customer to do something. Without clear focus, it would be hard to convince the reader to take action. Thus, before writing down the message, think first of what exactly you want to say in your e-mail. What is your purpose for sending your e-mail?

Your purpose should be conveyed right at the very first part of your letter. Use strong words in putting together your first statement. Tell why you are sending the e-mail.  State the importance in a way that your reader can identify with it. Why should your recipient read on?

If you fail to give your reader a convincing purpose, he/she may not continue reading the rest of your message. For this reason, you need to spend time composing your first two sentences to capture your audience’s interest.

How to Arrange the Body of Your Email

Keeping your message focused in one specific subject means not introducing or discussing too many ideas in the body of your e-mail.  For instance, if the main purpose of your e-mail is to invite a prospect to subscribe to your newsletter, don’t try to sell. Simply present your offer to send newsletters and tell why it will be beneficial for them to subscribe.

Don’t introduce your products in the same e-mail. You may include your website’s address in the closing of your e-mail and urge your recipient to check out your store online for more information. Do not be tempted to sell any product if your main purpose for writing is to invite a reader to subscribe. Don’t confuse your reader on what action to take as this is often ineffective.

Another effective way of delivering your message is by using lists.  Bulleted lists are short captions that sum up a point. Lists are easy to read and they don’t take a lot of your reader’s time. The recipient can just scan through it and still understand what your message is all about. This is why, a lot of e-mail marketers prefer to use bulleted in their e-mails and marketing copies as well.

Finally, every e-mail marketer must never forget the importance of proofreading the message. Check for errors in spelling, grammar, the use of punctuations, unnecessary spaces and other elements that can make your business email seem unprofessional.

  1. I have been reading articles here for some time and I really agree with all of them. Email marketing is really effective when it comes to advertising a site. For it to be successful, knowing the parts and improving how you write them is very crucial.
I used to receive newsletters before and some of them have so many ideas in just one letter. It is very frustrating to read them. Nice one here.. Thanks.. Just wanted to share some of my thought..

I’ve been receiving lots of e-newsletters. I don’t usually read them because the body of the email is too crowded. It makes me too lazy to read everything. It’s better to keep the email short yet direct to the point.
