Tips On Effective Email Writing: Be Direct and Diplomatic

The most challenging part in email writing is composing the message. If you really want your recipient to respond positively, you should pay special attention to the quality of your message.

Here are some email marketing tips that focuses on writing a direct and diplomatic letter:

State Your Purpose.

The first thing to consider when composing your message is your purpose. What is your main goal for sending the mail? What exactly do you want to achieve out of it?  Without a clear focus, it would be difficult to create a meaningful content.

E-mail marketing can be effectively used for various reasons. One is to give information, second is to request information from the recipient and third is to request or invite the recipient to take action. After deciding your e-mail’s purpose, that’s the time you can start writing your message.

Be Direct!

A direct approach is the best way to relay a message especially in a business letter. Try to sum up your purpose of why you’re sending the e-mail in the beginning of your e-mail. One or two sentences should be enough to state your purpose clearly.

Along with your introduction, don’t forget to tell your recipient who you are.

Using your personal name and the company you represents helps the reader see you as a real person and helps build trust right at the start.

Never assume that your recipient has the time and patience to read your e-mail all the through the closing. If you don’t win your reader’s interest right away, then the recipient can simply delete your e-mail. Appeal to your reader’s interest using powerful words that are carefully put together.

Stay Focused.

Another important thing is to focus on your message. For instance, if you’re introducing a new line of product, don’t try to market several products all at once. Instead, focus on one specific product, highlighting its benefits and advantages.  Without focus, it will be harder for you to convince a client to take action.

Be Diplomatic.

It is recommended to use a friendly, conversational tone but be careful not to use words that are overly informal such as slang, abbreviations, or impolite words. Observe courtesy and professionalism.  Use the suitable greetings in your e-mail. Don’t forget to use the words “thank you” and “please” when appropriate.

Pay attention to the formatting of your e-mail as well.

Never use all caps in your e-mail as this is often regarded as shouting and rude. Also, leave the smileys when you are e-mailing a friend, family or someone that you personally know. Smileys are not advisable when sending marketing e-mails.

These are just some of the things that must be applied when sending promotional e-mails to clients. Follow these tips and your e-mails will surely be more effective and appreciated.
