Tips On Effective Email Writing: Avoiding Attachments

Effective e-mail writing isn’t just about composing your message. Although a correctly-written message is very important, there are other factors in your e-mail that can affect your e-mail marketing campaign.

Don’t Include Attachments

For instance, in the past, advertisers or e-mail marketers often include file attachments in their e-mail. Although, many marketers have learned their lesson and have stopped this habit, there are still some marketers who send out file attachments in the hope that their recipient will open. This is a very ineffective way of marketing through e-mail.

There are many reasons why sending e-mail attachments rarely generate positive result. The first one is because attachments are often seen as dreadful virus carriers. People are afraid to open e-mails unless it’s from someone they personally know. And they have a good reason to be afraid.

Viruses have spread through attachments and millions of people around the world have been victimized by viruses in one way or the other. For this reason, if your e-mail contains an attachment, the immediate response from your recipient would be to delete the message right away.

Be Transparent

Another reason is that file attachments take some time to download. People don’t have the time and patience for these things. They have more important things to do than wait for your attachment to completely load just so they can read what you have to say. If you want to convey something to your prospect, use the body of your e-mail to say everything you want instead of sending it as a file attachment.

Another problem with e-mail attachments is that they are not always transmitted as the original format. In some case, the file may be confusing or unreadable after it has been downloaded and opened from your recipient’s end.

E-mail attachments also have another major drawback and that is they are simply too large. They take so much space in your recipient’s. If you recipient used a low-memory computer or a slow computer, this can be really frustrating for them.

Email Attachment Alternatives

Clearly, these reasons should be enough to avoid sending file attachments in your e-mail. Some e-mail marketers send .pdf files which they think are safer than Word documents. Yes, .pdf files are safer and they do retain the document’s original formatting regardless of what operating system the recipient uses.

However, it still doesn’t eliminate the fact that your e-mail may contain a suspicious file, that it’s take time to download and that it takes a lot of space in your recipient’s inbox and computer.

If you think it is necessary for you to send a .pdf file to your prospective customer, have the courtesy to ask permission first before sending out the file. If your customer agrees to receive it, then you can be assured that he/she will open the file and your message will get through. However, if your recipient did not answer or refused your offer, don’t make the mistake of sending it without permission.
